If you are looking to hire a commercial cleaning company for the first time or if you’re looking to replace your existing contractor, be sure to avoid the following four mistakes.  The last thing you want to do is enter into a contract with a company who cannot deliver to the standards you require.

References and Reviews

Just as you enter into a contract with an employee and you expect to check references, then the same should apply to your new commercial cleaning company.  Ask up front if they can provide references from existing clients so you can check first-hand that they can deliver what they claim they can do.  These don’t have to be from the same industry as the one you operate in but if they are then even better!

You should also look online to see what sort of reviews the company has.  There are many online resources to check reviews including Google, Facebook, Yell etc…  If there is no on-line presence, then the alarm bells should start ringing.

It’s also important that cleaning staff employed by your chosen commercial cleaning contractor all undergo a DBS check. After all, you don’t want to give people with convictions for theft a set of keys to your office block!

Continuity in the Quote

The visit should be followed up with a quote on price and corresponding cleaning schedule with details on spot checks, supervisor contact, communications books, tracking solutions, etc.

Insurance and Accreditations

If a commercial cleaning company cannot provide you with details of their insurance policies (including professional, employee and public liability) then you really should not consider using their services. Imagine the scenario: an employee comes in early to work and the floors are slippery with no sign on them.  He falls over and breaks his leg.  Who is liable?  If the cleaning company hasn’t followed their own safety procedures then they will be (and the last thing you want is to be lumbered with a massive employee claim for damages).

Having the necessary accreditations is also important and, although not always essential depending on your industry, they also demonstrate that this company has a made commitment to its own development.

The sort of accreditations you should look for include CHAS or Constructionline or check if they are a member of the British Institute of Cleaning Science for example.

Contracts and Service Agreements

Make sure that the contract proposed by your office cleaning company offers some flexibility in terms of contracted hours and pricing.   If your chosen company won’t budge in terms of the terms of the contract, the chances are that they are unlikely to go the extra mile when it comes to quality and standards.

You should also ask for a service level agreement.  Different cleaning companies can offer a wide variety of services.  If you have everything you need them to do in writing, then you won’t end up with them delivering services you don’t want to pay for.
